Cal Poly Pomona’s Associated Students Inc.’s Board of Directors’ executive team verbally warned the senators for failing to meet office hours and board report requirements at its Oct. 2 meeting.
ASI Attorney General Patrick Bello said several members of the board have not been consistently attending their scheduled office hours for multiple weeks in a row.
“This is your first verbal warning and opportunity to correct this issue,” Bello said. “We are now in week six of the school year, which has given everyone sufficient time to adjust their schedules or revise their office hour times if necessary.”
Outlined in ASI’s student government reader agreement under section three, which details the duties and responsibilities of student leaders, the agreement states student leaders are responsible for serving a minimum of four office hours per week, according to Bello.
Bello added each member’s office hours are a firm agreement, and since they are choose their own office hours, leaders have a responsibility to be present, accessible and accountable to the students.
Continued failure may result in disciplinary action in accordance with ASI’s policies.
“It can be very disheartening for someone who wants to learn about student government, or they have an issue they’re coming to you about, or they want to meet the student leaders,” Vice President Kimora-Aoki Morely said. “If you’re not there and it’s on paper, that doesn’t look good. It’s about improving transparency and making sure that everyone is doing their due diligence, so we could keep running like a well-oiled machine.”
Furthermore, ASI Senator Pro Tempore Sahil Hotchandani said the senators need to make sure they report at the ASI meetings what they are working on and things they are learning from their respective committees.
Usually at the beginning of every ASI meeting, Morely opens the floor to board reports and each report has a two-minute limit. None of the 10 senators in attendance at the Oct. 2 meeting gave reports. Only the president, vice president, attorney general, senator pro tempore, ASI executive director and university adviser gave reports.
“We want to make sure we have the very best team we could have,” ASI President Alejandra Sanchez said. “When we bring up office hours and board reports, its because we want to make sure they are fulfilling every part of the requirements they ran and ultimately won for.”
Sanchez also said some board members have not submitted their required regular board reports, despite the semester being a month underway.
Sanchez said the reports keep the board informed about the senators’ different councils’ activities, concerns, initiatives and priorities. She also said the reports help the board identify areas where ASI could provide help and support.
Sanchez said the Board of Directors only meets once a week due to members’ busy schedules, and if the senators aren’t making their reports, the student government won’t know how to help.
“We’re still pretty early on in the semester, so this is our attempt to … fix it before it becomes a continued cycle,” Sanchez said. “Your first semester can be pretty hard. You’re readjusting and everything, but at the end of the day, you still signed, … and we don’t want to end up having people who aren’t fulfilling their role and ultimately end up failing as a constituency as well.”
ASI also announced student-at-large committee nominations: Alan Munoz for the facilities and operations committee, Shuvashree Basnet for government affairs committee and Yamilet Aguirre for the sustainability committee and the basic needs committee.
The nominations will be action items in the next ASI Board of Directors meeting at 11 a.m. Oct. 9 in the England Evans room in the BSC or through Zoom.
